The Administrative assistant will:
Provides administrative support in a complex team environment to a senior group or executive.
Coordinate all aspects of travel, inclusive of flights, hotels, and ground transportation
Prepare and submit expense reports / reconcile payments with corporate card
Phone coverage, take detailed messages, respond to inquiries on behalf of manager as appropriate
Coordinate meetings inclusive of conference rooms, catering, audio/multi-media set up
Process check requests for payment of invoices as needed
Provide backup support for colleagues during vacation/sick days, and assist their executives as needed
Manages monthly invoices and arranges for payment
On-boards new hire, processes new employees, transfers, termination, etc.
Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events
Orders supplies and keeps inventory well-stocked
Manage sending and receipt of mail
Must have Associate’s Degree or 2-3 years’ work experience in the field or in a related area.
Looking for someone with EXCELLENT client service skills (friendly and smiley), ability to multi-task, familiar with switchboard operation, use Outlook calendars, and good general admin skills.
